Meetings scheduled so there's no needless driving

The company has around twenty salespeople who drive to customer meetings - two or three a day. The call centre booked them but couldn't see where the addresses lay or how they followed on from each other, so needless back-and-forth trips arose in big cities in Czechia and Slovakia. We built an automation that calculates the route between meetings and shows the call centre every salesperson's calendar in one place.

How it works

The challenge

The company has around twenty salespeople who drive to customer meetings - typically two or three a day. The call centre booked them, but couldn't see where the specific addresses lay or how they followed on from each other. So it couldn't suggest a route that avoided pointless back-and-forth driving - a problem mainly in big cities in Czechia and Slovakia. On top of that an hour was automatically blocked for every meeting, even when it was just a phone call.

The solution

We built an automation that calculates the route and distance between two points. Based on that, for a new meeting it shows the call centre straight away how long the trip from the previous one would be - so it can schedule meetings so they follow on from each other. We also included the salespeople's home addresses, so the trip from home to the first meeting and from the last one back home is calculated too. The call centre also chooses the meeting type - in-person or phone - instead of a flat hour for everything. And it sees every salesperson's calendar in one place; the app returns them automatically, with no need to click through them one by one.

What the company gets

The call centre's work got significantly easier - instead of poring over a map it has the trips calculated and the whole team's calendars together. The salespeople have simpler routes and, above all, spend more time in the meetings themselves than in the car between them.
